Practical security guidance

Office Security Checklist

How can an office improve everyday security routines?

Office security is usually a collection of small routines: a clear reception process, controlled access after hours, reliable visitor records and a response plan that staff understand. Use this checklist with facilities, HR and the office security team.

Make reception duties explicit

Reception and security should have defined responsibilities for greeting visitors, checking appointments, issuing passes, calling hosts and handling deliveries. Do not rely on an informal rule that changes with each shift.

  • Visitor authorization and identification
  • Visitor badge issue and return
  • Host notification and escort rules
  • Courier and delivery handover

Review employee and contractor access

List which doors are public, employee-only, restricted or used after hours. Confirm how lost cards, temporary workers, vendors and former employees are handled. Access permissions should be managed by the authorized client team.

  • Access-card exceptions
  • After-hours entry approval
  • Contractor sign-in and work areas
  • Restricted rooms and server or records areas

Plan for shared spaces and deliveries

Meeting rooms, lifts, parking areas and loading points can create different visitor flows. Give the security desk a simple way to identify deliveries, expected vendors and unplanned access requests.

  • Parking and vehicle movement
  • Delivery receiving point
  • Meeting visitor process
  • Unattended package escalation

Prepare for emergencies

Security personnel can support communication, access for responders, evacuation movement and assembly-point control within the office emergency plan. The plan should name facilities, fire, medical and building contacts and should be practiced by staff.

  • Emergency exits kept clear
  • Assembly point and headcount support
  • Lift and access restrictions during an incident
  • Incident notification and written record

Review reporting and privacy

Keep only the visitor and incident information needed for the agreed purpose, and decide who can access records. Review reports for recurring access problems, not just individual events.

Frequently asked questions

Should office security manage employee access cards?

The authorized client or building team should own access permissions. Security can follow the agreed entry process and report exceptions.

Do small offices need a security guard?

It depends on opening hours, building controls, visitor volume, deliveries and the consequences of uncontrolled access. A site assessment can identify whether guarding or another control is appropriate.
